What is the Mac Automator App?

The Automator is an OS X tool that allows users to create custom workflows for performing simple to complex tasks. These include renaming multiple files in a folder, combining PDF files, as well as, converting movie files from one file type or format to another.

Workflows are like recipes. To create one, you need to put the necessary ingredients together so they can perform a series of actions. In this regard, you need to supply the Automator with the list of inputs (the ingredients), where to access them, and the steps to take in every phase of the process.

Creating Your First Automator Workflow

Since you’re probably still new to the tool, you need to familiarize yourself with the primary Mac Automator features and the workflow, so you don’t have to do repetitive tasks on your own, ever again.

  1. First, launch Automator. You can find it in the Applications folder.
  2. Go to File > New.
  3. Click Workflow and then select Choose.
  4. You will see the Library, which allows you to expand and retract the central parts of the Automator UI. There’s also Media, which gives you access to media files that you may want or need for your workflow. At the right side are the Record, Step, Stop, and Run buttons. Record lets you record a series of actions. Step and Stop will skip and stop the recording, respectively. Run will show you how your workflow works when in action.
  5. The section in the middle shows Actions and You can go back and forth between them to choose the elements of your workflow. Just click, drag, and drop to add and re-organize, if needed.
  6. Once you’re done creating your workflow, save it like you would a document. Go to File > Save and name it as you please. You will also be asked for the target location of your workflow. Finally, click Save.

Using a Workflow

If you saved your workflow as an Automator file, just open it and click on Run to use it. But if you saved the workflow as an application, you’d only need to double-click on it, just like you would when launching any other Mac app. You can even move it to the Dock or the Finder’s sidebar or toolbar for easier access.

You can also create workflows, which are sequential (and repeatable) operations that are performed on the same files or data, and then your Automator application can automatically launch whatever applications are necessary to get the job done.

Here’s a great example: You work with a service bureau that sends you a huge .zip file every week with new product shots for your company’s marketing department. Unfortunately, these images are flat-out huge — taken with a 24-megapixel camera — and they’re always in the wrong orientation. Before you move them to the Marketing folder on your server, you have to use Preview to laboriously resize each image and rotate it, and then save the smaller version.

With help from Automator, you can build a custom application that automatically reads each image in the folder, resizes it, rotates it, generates a thumbnail image, prints the image, and then moves the massaged images to the proper folder — and all with a single double-click! Of course, you can run Automator from Launchpad, or from your Applications folder in a Finder window. Currently, Automator can handle specific tasks within more than 100 applications (including the Finder), but both Apple and third-party developers are busy adding new Automator task support to all sorts of new and existing applications.

Creating an application in Automator

To create a simple application with Automator, launch the application and follow these steps:

  1. Click the New Document icon.
  2. Select Application and click the Choose button.
  3. Click the desired application in the Library list. Automator displays the actions available for that application.
  4. Drag the desired action from the Library window to the workflow window on the right.
  5. Modify any specific settings provided for the action you chose.
  6. Repeat Steps 3–5 until you complete the workflow.
  7. Click the Run button (at the upper right) to test your script. Use sample files while you’re fine-tuning your application lest you accidentally do something deleterious to an original (and irreplaceable) file!
  8. When the application is working as you like, press ⌘+S to save it.
  9. In the Save dialog that appears, type a name for your new application.
  10. Click the Where pop-up menu and specify a location where the file should be saved.
  11. Click the File Format pop-up menu and choose Application.
  12. Click Save. Your new Automator application icon includes the Automator robot standing on a document. Most normal human beings would call you a programmer, so make sure you’re inscrutable from now on! If you plan to use your new Automator application often, don’t forget that you can make it more convenient to use by dragging the application icon to the Dock or to the desktop.

To find all the actions of a certain type in the Library list, click in the Search box at the top of the Library list and type a keyword, such as save or burn. You don’t even need to press Return!

  1. Open System Preferences.
  2. Display the Users & Groups pane.
  3. Click the Login Items button.
  4. Click the plus button at the bottom of the list.
  5. Navigate to the location of your new Automator application.
  6. Click Add.
